In every Toastmasters meeting, the Guest Liaison Officer plays a crucial role in providing a welcoming atmosphere for newcomers. This position is essential not only for creating a positive first impression but also for ensuring guests feel valued and informed throughout their visit.
The Guest Liaison Officer should arrive early to prepare for the meeting, setting the stage for an inviting experience. Upon arrival, their first task is to greet any guests and warmly welcome them to the club. It’s important to ask guests to sign in the guest book, as this helps the club keep track of attendance and follow up with potential new members.
After signing in, guests should be provided with an agenda and shown to their seats. During this time, the Guest Liaison Officer should be ready to answer any questions guests may have, offering insights into the meeting format and what they can expect.
As the meeting progresses, the Guest Liaison Officer serves as a communication bridge, informing the Sergeant at Arms, Toastmaster and President of the names of the guests. This ensures that everyone is aware of who is present and can include guests appropriately in the meeting.
After the meeting concludes, the Guest Liaison Officer should take a moment to thank guests for attending. This is also an excellent opportunity to invite them to return and to direct those interested in membership to the VP of Membership.
