Editorial
As we enter a new Toastmaster’s year, we turn and raise our metaphorical glasses to toast the outgoing committee and thank them for their work over the last year. We welcome Leonor Ragan, DTM, as District Director, Sue Fallon, DTM, as Program Quality Director and Patricia D’Cruze, DTM, Club Growth Director. Read their articles and reports below to discover the latest news and what the future holds for District 17 as we move forward together to make this year great!
The observant of you will notice that this month’s newsletter is described as July-August. This is to transition the naming of the issues to align with the issuing month. Therefore the next issue will simply be ‘September” which will be released in September.
Finally, to introduce myself to you, I am currently a member of Northern Lights Club in Woodvale and have been a Toastmaster since 2011. I have held committee roles at club level; President, VPM, VPPR, and Treasurer and had planned to take a year off… but here I am as your new Editor. The best laid plans….

District Director Says: Achieve, Celebrate and Appreciate.
Hello Dear Members of District 17,
Welcome to another year of public speaking and leadership. Our District 17 is very diverse with toastmasters from all over the world and from all walk of life. I encourage everyone to be welcoming, supportive and friendly. As a team we can continue to make a significant difference for our members and our communities every day through Toastmasters.
As your new District Director, I am so excited for the New Toastmasters year! My theme this year is: “The Passion to lead, communicate and achieve your goals” This theme will be the driving force for our District Officers in their quest to support your club and its members!
I believe by doing this and concentrating on our members’ experiences we will be able to find and develop the future leaders in our clubs and the entire organization. I want you to feel free to ask me any questions you would like and feel free to call me. I am here to help.
Every Toastmasters year offers huge potential for each of us. In each year, we have the opportunity to gain from the skills we develop and the friendships we make and to give back through a combination of the evaluations we give, the mentoring we provide and the leadership roles, formal and informal, that we take on. We have so much to celebrate in our District.
In the past I know you have been inspired by many of our Toastmasters here in our District. Perhaps you’ve been inspired to continue your journey of learning and development through a few simple conversations with our fellow Toastmasters. I know I’ve experienced all these and more in the past. I’m looking forward to continue our successes. I encourage you to find a way to show your appreciation, because sometimes the opportunity doesn’t come again.
What are you looking forward to this year? Is there something you’ve been thinking of doing but not really felt you’re ready for it?
Let me tell you something. You’re not ready until you start doing it. Once you start, everything you need to do it will start happening. If someone comes to you and says “I believe that you are the right person to do this”, then believe them because the chances are very good that they see something in you that you don’t see in yourself.
What are your goals this year? I encourage you to think about these two questions:
What are your personal goals?
What are your club’s goals?
Spend time with a friend or mentor and consider what you could do to really stretch yourself this year. After all, growth occurs outside our comfort zones, in the stretch zone. When you achieve your personal goals, the club will achieve the club goals, and the area, division and district will achieve their goals, too.
Setting club goals towards achieving a Distinguished award, whilst aiming to have fun and engaging meetings, is what is I would like to encourage you to aspire for this year. We have some exciting targets and our main priority is to help our struggling clubs and clubs with low membership. Our Club Growth Director Patricia D’Cruze DTM, is very eager to set strategies to make this intention a reality. We will also be working towards maintaining the excellence that has become our habit, serving the district mission of building new clubs and supporting all clubs in achieving excellence. Hopefully by now at least 4 of your club officers have attended Club Officer Training and have become familiar with their roles. Now is the time to have your first club executive meeting or second executive meeting and have discussed and are working on your Club Success Plan (CSP). Share your CSP with your Area Director. Share your challenges and successes with Area Director. Do not wait until they visit, just share. Set an ambitious date for achieving your club goals – April 30 2017. Then you can relax and begin training the next set of officers. If you’re an experienced club leader, please use these first few weeks to set your club up for success and share your experience with the new officers.
We held our 2016-2017 District Officer Training on June 11 for Division Directors and on June 18 for all the District Leadership Team with great success and enjoyment. We led an all-star cast of presenters focusing on: Successful Club Visits, Area Reporting, The New Positive Promotion Premiership, Team Building, Quality Contests, The Education Program, planning your year and more to help prepare our new team of Area and Division Directors for their roles this year.
Also there were six Club Officer Training sessions from June 25 to July 24 which included Community clubs, corporate clubs and our southwest clubs. I acknowledge the hard work of our Program Quality Director Sue Fallon, DTM in organising very educational and fruitful sessions. The enhanced training this year included social media. All our District Leaders presented their views as to what is to be coming up this year and how they plan to implement their goals and plans in the upcoming months. Overall the feedback received was very positive.
In addition to all the training Toastmasters International require many reports and forms to be submitted to them. I would like to share with you that we have submitted all the four main documents by the July 15, 2016 District specific datelines. This preliminary work will help us to achieve our Distinguished District Program as these specific tasks and requirements of the recognition program. This recognition for the District is very similar to the recognition that clubs receive for the Distinguished Club Program.

Fantastic result of 50 educational & leadership awards lodged already – superb work District 17 Toastmasters!
The members listed above have got the year off to a fantastic start. Not only achieving a personal goal but also contributing to the Distinguished Club Program for their Clubs.
These are terrific achievements – our first DTM, 6 Advanced Communicator Bronze, 5 Advanced Communicator Silver, 8 Advance Leader Bronze, 3 Advanced Leader Silver, 20 Competent Communicators, 6 Competent Leaders and 1 High Performance Leadership Project (LDREXP).
Many of our Club Leaders have advised that they will be looking after their members and encouraging you all to achieve your gaols in this coming year. Good luck to you all and make sure your Vice President Membership is aware of your personal goal this year.

Positive Promotion Premiership (PPP) 2016-17
Hooray! We have the first monthly finalist. Fremantle Gateway has pipped the other clubs to the post by submitting a talk given by the new Club President, Leo Abbs on RTR 92.1

The PPP has changed and longer will clubs be rewarded for just doing what they are supposed to be doing. Announcing meetings, having visitors sign the guest book and updating the website and social media will be taken as a given. This year the challenge is out there to do something special. What is your club doing that the other clubs should be copying? The new PPP will reward clubs for being creative and doing things that are outside of the day to day activities in a club. The PPP runs from 1 July 2016 to 15 May 2017 and the winner will be announced at the District Convention in May. Clubs can send in as many submissions as they want to send. Clubs must send their submissions and questions to prm-d17@toastmastersdistricts.org
Public Relations or Promotions?
Promotions refer to the entire set of activities, which communicate the product, brand or service to the user. The idea is to make people aware, attract and induce to buy the product, in preference over others. Public relations is the practice of creating, promoting and maintaining a favourable image of an institution among its various audiences through the use of various communications channels and tools. In Toastmasters language this mean that we want the public to be aware that we exist, to become intrigued enough to visit a club, and to find the experience so rewarding that they sign up as new members. We also want existing members to keep enjoying their Toastmasters experiences and to tell their friends, family and acquaintances about their club/s. Any activity that supports or encourages the cause of your club, area, and Toastmasters in WA will count towards your club winning the premiership.
What are typical submissions?
- Newspaper and magazine articles
- Speaking at Public events
- Videos on websites and social media sites
- Participating in workshops
- Social media activities
- Radio and TV talks
- Featured member profiles
- Blogs
How is the winner selected?
Clubs must send their submissions to prm-d17@toastmastersdistricts.org
The PRM will measure all the submissions received in the month and rank them from high to low. Up to three submissions will be selected as monthly finalists. The criteria are listed in the PPP checklist to help you determine how likely your submission is to win.
All the monthly finalists will be checked against the qualifying criteria at the end of the premiership to determine if they have qualified to be a winner.
This list of finalists will then be given to an independent judge or judges to determine the winner and runners-up.
Tips for winning
- Show initiative and be creative
- Share events with other clubs
- Wider cover is better e.g. All WA compared to local newspaper
- New news. Do something the other clubs have not done.
- Videos > Photos > Written
- Outsiders promoting your club
- Low cost > Paid advertising
- Promote the Toastmasters values : Respect, Integrity, Service and Excellence
Important: Don’t forget the permissions
You have to have permission to use photographs and videos taken at your club events. Ensure that all your club members and guests have agreed to having their images published. Release forms are available in the resource library at http://www.toastmasters.org/Resources/Resource-Library
What are the qualifying criteria
These criteria will only be used to select the winner at the end of the period. Monthly finalist do not have to achieve these criteria before the cut-off date in May.
- The club must have written at least 4 new members. These can be dual, reinstated or transfer members. (Met DCP goal 7)
- The club must have had at least 4 officers trained at either of the COT sessions (Met either of DCP goal 9A or 9B)
- The club must be a club in good standing.
- The club details on the Toastmasters international website must be current.
- The club details on District 17 website must be current.
- The club must have at least one form of online or social media presence such as a Website, Facebook page or Meetup
- The home page (front page) must be current and cover the Who, Where and When of club meetings.
- The online information needs to show regular updates. No less than once a month for at least the latest 4 months. January to April.
- There must be no out of date information on the front page e.g. event should not still be advertised more than a week after the event .
Can clubs be disqualified from winning?
Yes. Any club involved in negative PR that detracts from the Toastmasters brand will be disqualified. Always remember the Toastmasters values.
Checklist
The more items you can tick, the more likely your submission is to be selected as a finalist.
- Will this activity attract new members?
- Will this activity help retain existing members?
- Does this activity tell the public more about Toastmasters?
- Does this activity promote the club internally?
- Does this activity promote the club externally
- Does the promotion include photographs?
- Does the promotion include a video?
- Does it look like fun? Are people smiling?
- Does the event involve more than one club?
- Is it a community event?
- Is this event inspirational?
- Does the event promote the Toastmasters values?
- Is the promotion featured in more than one place e.g. Newspaper, Facebook and Website?

Smedley Award
The Smedley award is the first of three membership-building contests in the Toastmaster calendar. Named after the founder of Toastmasters, all you have to do is add 5 new members from the 1 August to the 30 September. Toastmasters send the Smedley Award ribbon to display on your club’s banner once you qualify.
There are more incentives such as achieve Goal No. 7 of your Distinguished Club Program Point of 4+ new members. Put together a team and make an effort to build your club membership and you will achieve Project 6, 8, or 10 of your Competent Leader Manual.

Fewer than 12 Members? Ask for a Club Coach
A club coach is someone who works with a club that has fewer than 12 members. The Coach’s role is to help the club add at least 5 net new members and attain Distinguished Status. A coach’s assignment is complete when this occurs and the club has the processes and tools in place to carry on without any external assistance.
Two coaches may be assigned per club as appointed by the District Director. Anyone who serves as a coach receives credit toward the Advanced Leader Silver award. Attend the SMAC Workshop on 3rd September 2016 to find out more and acquire the skills you need.
Contact the Club Growth Director Patricia D’Cruze DTM cgd-d17@toastmastersdistricts.org, if your club would benefit from a Club Coach or if you would like to take on a Club Coach role to help revitalise a struggling club. It might be the most rewarding role you ever take on in your Toastmaster journey.

Tips for your Freetoasthost Website
Does your Club have a Freetoasthost website?
It is important that your Club Members add their profile to your website. WHY?
When prospective members are looking on your website in the “Meet the Members” page, to make a decision on whether to come along to a meeting, (and we all remember how daunting that was) it is so encouraging for them to see how other people felt and how joining Toastmasters has helped them improve speaking and leadership skills.
Are you unsure of how to add your profile to the Meet the Members page?
Well, help is at hand! Follow the instructions below:
TO LOG IN
- Take a nice photo of yourself and save it to your computer.
- Go to your club’s website.
- Go to Member Login
- Log in as a member
If you have forgotten how to do this here are the instructions:
- Click on Member Login
- Enter your email address or name – if a pop up shows, pick from the pop up
- Enter your password
If you don’t have a password or don’t remember your password:
- Click on the Authenticate/Login button.
- An email will automatically go to your email address (that you have supplied previously) with a link
- Click on the link
- Create your own unique password (save this password)
- Log in
NOTE: The details of your personal email address or phone number will not be made available to the general public, only members of your club.
ADD YOUR PROFILE
- After you have logged in:
- Go to Edit your Profile (in the members section)
- Click on Basic Information
- Click on YES to make your profile available to the public (this will not show your email address or phone number to the general public) clicking YES will only give members access to your email address and phone number so they are able to contact you.
- Read the questions carefully.
- Enter your name
- Enter your primary email address
- Enter telephone number
- Enter Club Member since ………………..(if you don’t know this date you can look it up on the Toastmaster International site)
- Enter your Toastmaster ID (this number can be found on the Toastmaster Magazine plastic sleeve that you receive each month, otherwise this is also available on the TMI website).
- You can also enter your Mentor – click on the drop down box on the right side of the blue box and tick your mentor. If you don’t have a Mentor, please ask an experienced Toastmaster to be your Mentor, they are your go to person when you need help.
- SAVE
- Stay on the Member Profile and go to Member Bio/Photo tab
- Enter your bio – it doesn’t have to be elaborate, just who you are, why you joined and how you are finding being a Toastmaster or what Toastmasters have done to help you.
- Upload your photo (from where you saved it in Step 1)
- When you find your photo click open
- SAVE
- Your BIO is now complete.
- CLOSE
Log out of the website.
To check your profile, there is no need to login again, just go to the “Meet our Members” section at the left hand top of your Club’s website.

Heal the Wounds
Our Club is cruising on auto-pilot along a perennial route when suddenly, we are blind-sided by a well-camouflaged pothole! The impact sends Members somersaulting through space in slow motion, as our Club life flashes before our eyes. The Emergency Response team promptly arrives to render triage and first aid to the wounded. Is there hope for the patient or are its days numbered?
Since its inception in 2010, Southern River Toastmasters Club has held the enviable status of being President’s Distinguished. Albeit, it was usually a mad dash to get to the post and the accolade had become “routine”. Herein triggers our freefall into reality. We had taken our eyes off the ball and been hoodwinked by the Illusions of Assumptions. Assumptions that Members who volunteer as Officers and for projects year in and year out, will always be there; assumptions that we will always be able to whip up 20 members just before the sand runs out in the hourglass; and assumptions that succession will always be a given. The reality is, past accolades are not guarantees to a Club’s viability and when we assume, be ready for the proverbial Ass that you and me morph into (“ass- u-me”).
2015/2016 was our year of reckoning but the good news is, the patient will survive!!! The road to recovery in 2016/2017 is arduous and needs the cooperation of all body-parts to work in unison to heal the wounds as we learn once more to walk in baby steps.
OUR RECOVERY PLAN is 4-fold:
LEADERSHIP
We need a cohesive team of dedicated physicians (Leaders) to diagnose the ailment (problems) and prescribe the appropriate medication (strategies, plans and processes). Carers (Members) will play a vital role in implementing the recovery plan and upholding the will (motivation) to work on recuperation and revitalisation (rebuild and growth).
Leaders are heroes who take action. They are passionate and committed to their cause of betterment, even / especially when the chips are down. They don’t have all the answers but are willing to give it a go to the end. We have run our club elections for the 2016 term and have returned a full team, with a separate Member dedicated to each role to take the Club forward.
KNOWLEDGE
Participation requires buy-in; buy-in requires benefits-to-self and WIIFM (What’s In It For Me) and requires knowledge and understanding. Our strategy is to rebuild and fortify the knowledge foundation in order to create understanding and motivation. Workshops that introduce the What, Why & How behind Team Building & Succession, meeting Club Goals (Moments of Truth and Planning), running Speech Contests, Speech Construction and giving inspirational Evaluation aim to reveal some secrets unknown to even the longest practising Member. Most Members learn on the fly. Never assume that every Member is on the same page of expertise. There could be tendencies to learn by rote and get stuck in routine because we do not know what is allowable, question the rationale behind processes or try doing things differently to improve. Foundation building shall be the Words of the Day.
ATTITUDE
”The flesh is able but the spirit is weak”, is an observation not inherent to any one Club. Key characteristics are the same people (having to) volunteer for everything because they do it so well; not rocking the boat with changes because it’s how we have always done things and running through the motions on auto-pilot because it’s a tick in the box regardless of how we perform. Moment of Truth, CHANGE is the only constant in today’s fast-paced and chameleon-like world. If we do not embrace transformation, we will surely join the colossal T-Rex, with a fearsome reputation yet unable to adapt to survive the challenging climate and the deathblow of a meteorite impact.
Our Club’s challenge is to cultivate a volunteering mentality and upkeep the motivation through the generations. We aim to achieve this through Education, Engagement, Enjoyment, Excitement and Egoism (self-benefit).
PROGRAM QUALITY
Standardisation in the Agenda has its merits but can also contribute to monotony and tedium. We intend to spice up the agenda through the introduction of debates, themed meetings with experts in the field as guest speakers and practical Open House events testing a different outreach media. Organisers can also ride on these events to complete their Higher Performance Leadership (HPL) award and CL projects 6 – 10. Creative Thinking and Synergy will form part of our mantra.
My fellow Toastmasters, is your Club susceptible to being blind-sided by hidden potholes that can jolt its very existence? Organise a Moments of Truth session to discover the areas at risk; plan for (never assume) Succession Planning; keep your Members engaged and active; adapt to evolve and prevent the ailments before they set in. If your Club has sustained some unexpected injury, make a concerted effort to heal the wounds.

A new club in Fremantle
Victoria Quay in action
Victoria Quay has committed to founding a new Toastmasters Club.
Why?
Our current membership has just reached 51. It is becoming difficult to give every member a fair opportunity to practise their speeches and the other important agenda roles. The new club will service interested people around Fremantle. It will attract our many current visitors and some of our current members. They will appreciate the greater opportunities available in the new and probably smaller club..
The name?
Victoria Quay Monday. It will meet at the Bowling Club on Monday evenings. We meet there on Wednesday. It will be an independent club. It will be closely connected to Victoria Quay. It will share the strong brand image which we currently have in Toastmasters and in Fremantle.
The Project
I discussed the idea with some key members as our numbers moved steadily up through the 40s.
At our first Business Meeting with our new Officers on July 13 I proposed the project. There was great interest and general agreement.
On Wednesday, July 20, we held a special meeting to finalise the project:
- President Ilija Jurin is spearheading the organisation.
- The full Officer group will comprise the New Club Committee.
- We agreed to fund the project and to apply to District 17 for financial support within their guidelines.
- Vice President Public Relations Andrew Moore will be handling publicity through Facebook and local newspapers.
- As Website Editor I will be using our website to publicise events.
- A team of members will be conducting a letterbox drop in target areas around Fremantle. This will be about one month before the Demonstration Meeting projected for September 19.
- I will be a Club Founder and recruit another Founder and two Mentors. They will all acquire credit towards a DTM award.
